GENERAL TERMS
To avoid misunderstandings, you should be in no doubt as to the commitments we have to you and, in turn, the obligations you have to us.
 
Listed below are a number of important points which we would like you to read carefully.
 
LEVY / CASHLESS CARDS

1. Please register and add funds at any till (Sports Bar, Brasserie bar, Brasserie or function bar), where there is a minimum top up of £25..

2. Levy balances can only be redeemed at Barnham Broom Resort. Discounts offered by Barnham Broom are non-contractual and can be changed or withdrawn at any time.

3. Levy balances are valid for specific timeframes. Club Card – your membership term, Apartment Card – the duration of your stay (with the exception of Timeshare club owners, this will be linked to your deed) Privilege Card – valid as long as activity on your account. If dormant for more than a 12 month period, the card will be deactivated and any balances lost.

4. Levy balances cannot be used after the expiry date and any balance remaining upon expiry shall be lost. We have no obligation to remind or inform you of a Levy Balance expiry and it is your sole responsibility to ensure that any balance is used in full prior to cancelling your membership.

5. Levy balances can be checked at any time using your online account.

6. Levy balances may not be exchanged for cash. No change will be given when payment is made using a Levy Card.

7. Levy balances are not transferrable or refundable. If you are entitled to a refund for products purchased with a Levy Card balance, this will be issued as a credit to your Levy Card. This does not affect your statutory rights.

8. The rules regarding the purchasing of alcohol for under 18s still applies when using the Levy Card.

9. Barnham Broom does not take responsibility for lost or stolen cards. Please contact Barnham Broom ptappenden@barnham-broom.co.uk as soon as you become aware of a lost or stolen card.

10. Barnham Broom reserves the right to run promotions on the Levy Card. Specific campaign terms & conditions will apply at the time of promotion. Discounts may differ depending on the membership category held by the customer.

11. These Levy Card terms and conditions are subject to and form part of Barnham Broom general membership terms and conditions. Barnham Broom reserves the right to amend and remove this service if required.

12 . Apartment card only – is valid for two weeks from set up date, any remaining balance after this time will be lost.

13. Timeshare cards are valid for the life of your timeshare ownership.​

ERRORS & OMISSIONS

Whilst we endeavour to ensure that all information is complete and accurate at all times, some items may change as a result of matters beyond our control. We will inform you of any material changes to any of the relevant details at the earliest opportunity, and always as part of the booking process,as a part of our commitment to quality customer service.

GIFT VOUCHERS

All Gift Vouchers, purchased online or directly, are valid for 12 months.

These cannot be extended or transfered.

PRICING

Prices and services of all our products and services at Barnham Broom are subject to change at any time.

SMOKING

All areas within Barnham Broom are strictly non-smoking/non vaping.

There are designated areas provided outside.

Please do not smoke or vape in the hotel or your bedroom; anyone found to be doing so will be charged a deep cleaning charge.

The minimum amount for this is £100 and will be applied to the room bill. 

GREEN POLICY

“To be a leader in the hospitality sector for the region in promoting the concept of “green tourism and sustainability.”

Barnham Broom are proud to have been awarded a Bronze award by Green Tourism and are committed to environmentally friendly practices and reducing our carbon footprint wherever possible.

We see the Bronze award as just a starting point and are keen to build on this. However, we already have a number of green initiatives in place.

First, we use locally-sourced food and drink in our kitchens, preferably within a 40-mile radius. This not only allows us to work with some fantastic local suppliers, such as Winbirri Vineyard in Surlingham and Cleveleys butchers, but it also helps us to decrease food miles and support local businesses while showcasing what the region has to offer.

This is complemented with ethical teas and coffees and eco-friendly toiletries which are available in our food outlets and bedrooms respectively.

Waste minimisation is also an important element for us as we recycle wherever possible to cut down on landfill. For example, we use a cardboard baler to reduce the number of bins we need and the amount of potential miles and waste produced.

The team at Barnham Broom always makes the effort to be environmentally conscious and reduce the use of energy and water to minimise waste. For example, there is a widespread use of LED bulbs and sensor controls to avoid surplus energy usage. The staff take personal pride in minimising waste by ensuring that water, gas and electricity are not used unnecessarily by both office and operational members of staff.

Barnham Broom is now working towards a Silver award and have assigned “Green Champions” within the team to help promote and educate other employees how to be more aware of the environmental impact of the hotel.

PROMOTIONS, COMPEITIONS & DISCOUNT TERMS & CONDITIONS

GENERAL TERMS

These terms and conditions (below), together with any terms set out in specific competition conditions / specific promotional conditions, apply to all competitions (“Competition”) and promotions (“Promotion”) featuring in / on any Barnham Broom Website / Social / Email correspondence unless otherwise expressly stated.

The promoter is: Barnham Broom Golf CLub Limited (company no 01245301) whose registered office is at Honingham Road, Barnham Broom, Norwich, Norfolk, NR9 4DD. By using our offers / discounts / entering competitions, a participant is indicating his/her agreement to be bound by these terms and conditions and participation is deemed as acceptance of these terms and conditions.

AFTERNOON TEA 2026 PROMO

When booking standard Afternoon Tea, the following discount applies.

The offer: 10% off Standard Afternoon Tea at the Brasserie at Barnham Broom (When taken between January and March 2026)

You must show the email or voucher to your waiter on arrival. The offer starts at 8 am on 21st January 2026 and expires at midnight on 30th March 2026. Exclusions apply: the offer (i) applies to new bookings booked and taken before the 31st March 2026 only and cannot be applied retrospectively nor price matched; (ii) cannot be combined with any other offer or discount or used alongside Gift vouchers. (iii) Supplements apply to afternoon tea upgrades. We reserve the right to change, remove, withdraw or extend any offers without prior notice. Full terms and conditions apply.

PROMOTIONS AND DISCOUNTS

Promotional codes must be used in the manner and by the closing date specified on the specific promotional code terms and conditions. Failure to do so will void the discount.
Promotion codes are only valid for new bookings placed online or over the phone by quoting the relevant code or showing the relevant voucher before ordering.
No cash alternative to the offer will be available. Offers cannot be used in conjunction with any other offer or discount.
Only one promotion can be used per person unless otherwise stated.
Barnham Broom reserves the right to decline to accept bookings where, in its opinion, a promotion code is invalid for the order being placed.
Promotion codes and offers are only valid on products and services stated in specific promotional terms and conditions, while availability lasts and may be withdrawn at any time.
Barnham Broom reserves the right to cancel or amend the offer and these terms and conditions without notice under exceptional circumstances.
The promoter is not responsible for inaccurate offer details supplied to any participant by any third party connected with this offer.
Photocopies of promotional offers will not be accepted.
The promoter’s decision in respect of all matters to do with the offer will be final, and no correspondence will be entered into.
By using this offer, a participant is indicating his/her agreement to be bound by these terms and conditions and participation is deemed as acceptance of these terms and conditions.

Any words following the terms including, include, in particular, for example, or any similar expression, shall be construed as illustrative and shall not limit the sense of the words, description, definition, phrase or term preceding those terms.

Our failure to assert our rights in relation to any breach of the Rules shall not constitute a waiver of such rights, nor will any such waiver be implied.

If any provision of the Rules (or portion thereof) is invalid, illegal or unenforceable, the validity, legality or enforceability of the remainder of the Rules will not be affected or impaired.

The Competition and Rules will be governed by English law, and any disputes will be subject to the exclusive jurisdiction of the courts of England. Where the site and/or the Interactive Services are accessed from Scotland or Northern Ireland, this Agreement shall be governed by the laws of Scotland or Northern Ireland, respectively and you hereby submit to the exclusive jurisdiction of the Scottish courts or the courts of Northern Ireland, respectively.

Rules specific to each Competition are displayed below on the section for such Competition. We reserve the right to cancel or amend the Competition or the Rules without notice in the event of a catastrophe, war, civil or military disturbance, act of God or any actual or anticipated breach of any applicable law or regulation or any other event outside our reasonable control.

COMPETITON ENTRIES


Only one entry per person per Competition is allowed (except where Specific competition terms and conditions state that more than one entry can be submitted), and any entrant who enters more than the permitted maximum will be disqualified. Competition entries must be made in the manner and by the closing date specified on the specific competition terms and conditions. Failure to do so will disqualify the entry.

There is no purchase requirement to enter an online Competition. There is no charge to register as a user on the Barnham Broom website if registration is required as part of the entry process.

QUALIFYING ENTRANTS

Entry open to UK residents only. The address you provide with your competition entry (“Entry”) may be used to send any prizes so please make sure this is correct. Employees of Barnham Broom or any associated company of Barnham Broom and their immediate families, persons connected with the competition/prize draw and their immediate families i.e. prize sponsors, newsagents, wholesalers & their agents, are not eligible to enter the Competition.

By entering the Competition, you hereby warrant that all information submitted by you is true, current and complete. We reserve the right to verify the eligibility of all entrants. We assume that by reading our brochures or by using the website and entering the Competition (and you warrant that) you are aged 18 or over.

In the event that any entrant is disqualified from the Competition, in our sole discretion, we may decide whether a replacement should be selected. In this event, any further entrant will be selected on the same criteria as the original entrant and will be subject to these Rules. We reserve the right to disqualify any entrant (at our sole discretion) if we have grounds to believe the entrant has breached any of the Rules.

PRIZES

Prize winners will be chosen at random, unless specified otherwise, from all qualifying entries within 28 days of the closing date specified in the specific competition terms and conditions. In all matters, the decision of the judge(s) shall be final, and no correspondence or discussion shall be entered into. There shall be no right of appeal.

Claims for prizes must be made in the manner and within the time specified on the specific competition terms and conditions. Failure to claim a prize within this time or in the manner specified may result in disqualification and selection of an alternate winner.

Prizes are non-transferable and no cash alternative to the offer will be available. We reserve the right to substitute prizes of equal or greater value at any time.

All taxes, insurances, transfers, spending money and other expenses (including meals or personal expenses upgrades etc.) as the case may be, unless specifically stated, are the sole responsibility of the prize winner.

YOUR DATA & PUBLICITY

Winners may be requested to take part in promotional activity, and we reserve the right to use the names of winners in any publicity, both in paper and online (by entering the Competition, you consent to such use of your personal data).

Any personal data relating to entrants will not be disclosed to a third party without the individual’s consent. Please see our privacy notice for further details.

Data relating to entrants will be retained by us for a reasonable period after the Competition closes to assist us in operating competitions in a consistent manner and to deal with any queries on the Competition.

SPA DAYS, PACKAGES AND TREATMENT TERMS & CONDITIONS

BOOKING & CANCELLATION POLICY

Full payment is required at the time of booking for our Spa days and 14 days’ notice must be given for any group to be moved but cannot be cancelled. Full payment is required upon making any Spa treatment bookings to secure the appointment, a booking can be moved but not refunded up to 7 days prior. Cancellations under 7 days or non-arrival will be lost to cancellation.

All deposits are non-refundable.

The Spa treatment rooms will not be held liable for the loss or damage to any property of the client.

Personal items should be safely stored in lockers provided on Spa days.

PRE ARRIVAL

Arrival to the Spa treatment rooms for a Spa day or treatment please arrive 10 minutes prior to your scheduled start time. This allows you to relax before the day or treatment commences.

Please fill out the in take forms prior to arrival, at least 24 hours so we can ensure the service can be carried out prior to your arrival.

AFTERNOON TEA / LUNCH PACKAGES

The Brasserie can cater for majority of dietary requirements; please give us 24 hours notice for these.

Unfortunately, we cannot provide Gluten free pizzas

PATCH TEST

Patch Tests are required for tinting and dye treatments, we require this to be done at least 48 hours prior to the service being carried out. 

PRODUCT RETURNS

All products return must be accompanied by a receipt. Product returns can only be accepted if they are unopened and returned within 14 days of the original purchase.

Returns can also be refunded with a voucher.

RIGHT TO REFUSE SERVICE

We reserve the right to refuse or discontinue a service to anyone demonstrating behaviour that is perceived to be inappropriate or disruptive to other guests’ experience.

LATE ARRIVALS

If you are late for an appointment, your treatment will end on time so that the next appointment scheduled can commence on time. Should this happen, your service will be charged in full.

CHILDREN

 

Children must be 16 or older to receive Spa services, children under 16 may receive services but be accompanied by an adult at all times, treatments that can be included (Express facial, Oriental head massage, File & polish fingers or toes polish). Children under 12 are able to receive services which include File & polish only.

ACCESSIBILITY

The treatment rooms are all on the ground floor. Spa therapists are not allowed to lift guests onto treatment beds. If such assistance is required, please bring a personal care attendant. 

Please note that the Edge ( gym, pool, sauna and steam room) are located up a set of stairs; we do not have lifts in the hotel. 

SPA MEMBERSHIP TERMS & CONDITIONS

These Terms and Conditions govern the membership offered by The Spa at Barnham Broom to individual clients ("Spa Members"). By enrolling in the membership programme, you ("the Spa Member") agree to the following terms.

BOOKING & APPOINTMENTS
  • Spa sessions and treatments must be booked in advance. Although a last minute slot may be available, space cannot be guaranteed
  • Members are expected to give at least 48 hours’ notice to cancel or reschedule an appointment.
  • Missed appointments or late cancellations may result in forfeited services or fees.
  • Bookings are not valid for use on particular dates, including but not limited to –
    • Valentine’s day
    • Easter Sunday
    • Christmas Eve, Christmas Day, Boxing Day
    • New Year’s Eve & New Year’s Day
    • Mother’s Day & Father’s Day
GENERAL TERMS
  • Spa discounts are not applied to spa days, packages, events, special offers, or discounted products.
  • Discount is not applicable off spa days or packages or products that are already discounted.
  • Can’t be used in conjunction with any other offer or promotion
  • Memberships are non-transferable and for individual use only.
  • By joining, you accept these terms and agree to comply with all spa policies.
  • Nothing in these terms affects your statutory rights under consumer law.
  • These terms are governed by applicable local laws in your region.
  • The complimentary treatment voucher can be used to upgrade to a different treatment option, which comes at an additional charge. Please speak to a Spa member who can advise you on the upgrade price.
  • Treatment vouchers cannot be extended after the expiry date; the voucher is valid for 3 months.
  • Expired or unused services cannot be exchanged for cash or transferred to another person.
  • Through circumstances beyond our control or any reasons beyond reasonable control, we may be unable at times to provide our full range of services. This may be, for example, because of the temporary closure of our premises due to fire or flood damage, we will do all we can to restore our services as soon as possible

Opening Hours and Facilities

  • Details of the Spa’s current opening hours and facilities are displayed on our website. We may sometimes need to change opening hours or facilities available, if this will affect your booking, we will aim to notify you by email or call.

We may (unless stated elsewhere in this agreement) make reasonable changes to these rules at any time provided we give you advance notice of the changes.

CANCELLATION POLICY
  • 30 days notice is required for cancellation of any membership
  • You may cancel at any time (e.g. in-salon, or by phone).
  • The cancellation process will be as simple as the sign-up process, without unnecessary steps.
  • No refunds will be issued for payments already made, except as required by applicable law.
COOLING OFF PERIOD
  • If you sign up online or outside the spa premises, you have the right to cancel within 14 days of sign-up for a full refund, provided you have not used any membership services during that period.
  • To exercise this right, contact The Spa at Barnham Broom in writing within the 14-day period.
CONDUCT

The Spa at Barnham Broom has the right to terminate or suspend a spa member’s membership for reasons relating to misconduct.

The Spa at Barnham Broom has the right to prevent entry or reject a spa member whose behaviour or appearance is, in its sole opinion, deemed by it to be unsuitable.

CHANGES TO TERMS & PRICING
  • The Spa at Barnham Broom may update membership terms or pricing with at least 30 days notice.
  • If you do not agree to the new terms, you may cancel your membership before the changes take effect.
PRIVACY POLICY

By signing up to be a Spa member, you are giving us permission to email you with special offers and information regarding the Spa at Barnham Broom. You can opt out at any time.

The personal data we hold on you includes your name, address, contact number(s), email address, gender, date of birth and bank details (where applicable e.g Direct Debit payments). We use this information to allow us to fulfil our contractual obligations to you as a member in accordance with our Spa Membership Terms and Conditions and Regulations. We may from time to time be required to share this information with our external data processors and Governing Body (e.g for handicap purposes) who adhere to our Privacy Policy.

You have the right to request a copy of the information we hold about you. If you would like a copy of this information or our Privacy Policy, please email us on enquiry@barnham-broom.co.uk. We also want to make sure that your personal information is accurate and up to date so you may ask us to correct or erase information that you think is incorrect.
