For all packages and breaks a deposit of £25.00 per person is required to secure your reservation. This can be paid by debit card or credit card over the phone.
Confirmation and cancellation: Bed & breakfast rates
Bed and
breakfast rates can be cancelled without charge up to 24 hours prior to the day
of arrival (by 3pm the day before your reservation) In the event of a
cancellation being made after these times, a full charge for the first night
will be taken from the card provided.
Package
and break deposits are fully refundable if written confirmation of your
cancellation is received 14 days prior to the day of arrival. In the event of a
cancellation within 13 days prior to the day of arrival, any monies paid minus
the deposit are fully refundable. If a cancellation is made within 24 hours
prior to the day of arrival, a full charge for the first night will be taken
from the card provided.
We strongly recommend you take out holiday insurance.
Payment
The balance of your Hotel account is payable in full before departure, unless prior arrangement has been made for your account to be sent on for payment.
Smoking
All areas within Barnham Broom are strictly non-smoking. Outside areas are provided for your comfort. Please do not smoke in the hotel or your bedroom. It is usual for us to charge guests an extra night’s accommodation if we feel we cannot re-let a room which smells of smoke after their departure. As a minimum, a £100 deep cleaning charge will be applied to the room bill. Please note that we do not allow electronic cigarettes to be used inside or on the property, including bedrooms.
Commissionable Charges
Commission will only be paid to agents booking business on contractible rates.
The Edge Health & Fitness Club
Groups
A deposit of £50.00 per person for a two-night stay and £25.00 deposit per person for a one night stay is required to secure your reservation. This can be paid by credit card or cheque made payable to Barnham Broom Hotel. In the event of a cancellation deposits are fully refundable if written confirmation of your cancellation is received 60 days prior to the date of arrival. After this time deposits will only be refundable if we are able to resell your accommodation.
Golf Break Groups and Groups
Golf inclusive groups: additional rounds of golf may be pre-booked for golfing breaks and will be charged at the seasonal rate.
Groups: all groups of 5+ rooms must be paid in full 1 month prior to arrivals. No cancellations or non-arrivals payments will be refunded after the final payment has been made and cannot be used against other incidental costs.
All golf is subject to availability and weather conditions. We cannot be held responsible for inclement weather conditions and will therefore not consider refunds or compensation should play be affected. During the winter months golf may be played on temporary greens and tees. We recommend that all golfers reserve tee off times prior to arrival at the Hotel. Handicap cards must be presented at peak times on the Valley Course only.
Special Offers and Discounts
Charges and Payment
2 Credit accounts are payable on receipt of invoice within 30 days, after the date of the invoice. All invoices are quoted and payable in pounds sterling.
3 Credit accounts will become overdue if not paid within 30 days, whereupon further credit applications may be refused.
4 Credit accounts not paid within the 30 days will also be subject to a 3% interest charge against the outstanding balance, charged weekly.
5 Deposit for a Wedding is £550.00.
6 All Weddings are to pay in full 1 month prior to the event. The final balance is payable within 30 days of receipt of invoice. In the event of a Wedding cancellation, please note that your deposit is non-refundable.
7 Guest’s individual accounts, which are not chargeable to the main account are payable on departure from the Hotel.
8 In the event of disputed charges, the undisputed part of the account is still payable within 14 days and subject to interest at 3% if not settled.
9 In the event of charges, not normally payable by the Client, not being settled by guests on departure from the Hotel, the Client will be liable for all these charges. This includes charges that apply to applicable cancellations and to any guest that fails to show up for their reservation.
10 Prices quoted include VAT unless otherwise specified. This shall be at the rate prevailing when the Contract was prepared and is subject to alterations if the rate changes.Confirmation of Reservation by the Client
11 All bookings will be considered as provisional until both the Client and the Hotel sign the Contract. Once both parties sign the Contract the entire booking will be subject to these
12 The Contract must be returned by the Client and received by the Hotel. If we do not receive the Contract within 14 days, the Hotel reserves the right to release the provisional booking and re-let the facilities.
13 Numbers for attendance must be advised to the Hotel at the time of the booking and confirmed in writing and will then be contracted. Final timings, menus and special requirements must be confirmed to the Hotel at least
14 days prior to arrival.14 All prices are subject to change until confirmed by the Hotel’s authorised signature of Contract as detailed in the booking confirmation.
Amendments by the Client
16 Reductions in the duration or contracted value of the booking shall be subject to the Hotel’s cancellation policy.
17 No charges will be made for reduction of numbers of less than 5% from those stated on the Contract, provided they are received in writing by the Hotel at least 14 days prior to arrival.
18 Any reductions in numbers within 14 days of the event will be charged at 100% if the facilities and related services are not re-sold.Cancellation by the Client
19 In the event that all or part of an event/booking being cancelled by the Client, the Hotel will make every effort to re-sell the facilities.
20 Should cancellation of an event/booking fall within 60 days of the arrival date then a charge of 50% of the total contracted revenue will apply. If the event/booking is cancelled within 30 to 14 days of the arrival date the Hotel’s cancellation policy is 95% on the contracted accommodation and room hire revenue and 70% on contracted food and beverage revenue. If cancellation is within 14 days then 100% of the contracted total revenue will be charged if facilities and related services are not re-sold.
21 Cancellations, postponements or partial cancellations, must be notified by the Client to the Hotel both verbally and in writing at which stage you will be advised of a cancellation reference number and an estimate of the cancellation charge.
22 The final cancellation charge will be advised to you after the intended date of the event, when the estimated cancellation charge will be reduced by the amount of equivalent business that we have been able to secure to replace your cancelled reservation.
23 If group rates have been agreed and numbers decrease to less than 10 rooms a surcharge will apply.24 Agent’s commission is only payable on room rates and package rates.
Displays and Equipment
26 Prior written approval is required from the Hotel if you wish to fix items to the walls, floors and ceilings.
General
28 The Client must reimburse the costs of cleaning or repairing any damage caused to the Hotel property, contents or grounds by any of your guests to the Hotel.
29 The Client is responsible for ensuring that any band, musician or other contractor employed by them, complies with statutory requirements, has relevant insurances, and also conforms to the requirements of the Hotel management, to include sound level management.
30 The Hotel must comply with certain licensing and statutory regulations and requires the client to fulfil their obligations in this respect. All bars for non-residents must close at11.00pm unless otherwise specified and licensed. All bars for residential guests are subject to close at times specified at the discretion of the management.
31 No alcohol or food is to be brought into the Hotel by the client unless it is as a gift to guests/clients, and in turn must not be consumed on the premises. Guests are requested to use the Hotel wine list at all times.
32 In accordance with section 2(3) of the Hotel Proprietors Act 1958, the Hotel accepts no responsibility to the Client in respect of any such claims made against the Client by any member of their guests/group in respect of loss or damage to their property.
33 Should any delegates/guests be unable to correct an aspect of poor behaviour or activities that are deemed offensive or unacceptable to the Hotel, the Hotel reserves the right to terminate the guest’s stay and no monies will be refunded. The manager’s decision is final.
34 Insurance can be arranged to protect you and your event against cancellation or abandonment with a minimum sum insured based on the anticipated income to the hotel.Insurance can also cover non-appearance of speakers or delegates, property damage to the venue and its contents, third party bodily injury and third party damage. The Hotel does not accept liability for these.
35 The Hotel will not be liable for any failure to provide or delay in providing facilities, services, food or beverage as a result of events or matters outside of its control, including industrial action by either staff or contractors.
36 It is incumbent upon all organisers of events to ensure that all participating persons are aware of the above conditions.
Golf

Golf DAYS

- A non-refundable deposit (£500 Corporate & Charity/ £10 per person for smaller Societies & Golfing Groups under 40) are required to secure a booking along with the signed booking confirmation.
-For Society bookings less than 40, individual deposits will be lost and not used towards the final balance payment.
- The booking remains provisional until the deposit is received.
- On paying the deposit you are agreeing to the Barnham Broom Golf Club Golf Day Terms and Conditions
- We will remove any booking from our system, if a deposit/communication hasn’t been received within 2-4 weeks of the provisional booking enquiry.
- Final numbers will be required in writing or via email 5 working days in advance of the day for catering and billing purposes.
- Your final invoice will be based on the numbers given by the event organiser in writing or email 5 days before the event.
- No shows on the day will incur full costs including green fees & all pre-ordered food.
- Barnham Broom reserved the right to review contracted pricing in line with any unprecedented inflationary impact caused by world events. These will not exceed any UK consumer price index % (CPI)
Minimum Numbers
- The minimum number noted on your confirmation document is the number you have agreed to pay for. Should numbers drop under this amount you will be charged for the agreed minimum number.
- Final numbers are required no later than 5 days prior to arrival. If numbers decrease after this time the last number submitted will be charged for.
Catering Requirements
-All our menus are of a set choice. Each guest will eat the same.
- An alternative option will be offered to vegetarians/special dietary requirements as “Chef’s choice” on the day of the event.
- Supplement charges will apply to menus requiring a choice to be offered. Please ask your booking co-ordinator for more details.
- Golf Days/Societies are not prohibited to provide their own snacks, water and soft drinks and alcoholic beverages without prior written permission from Barnham Broom.
- Glass or glassware is not prohibited on our golf courses
- Barnham Broom offers a hospitality buggy offering beverages and confectionery, subject to request. Items are be paid for at the time of purchase unless otherwise agreed with the booking organiser.
- A corkage fee will be applied to any alcoholic beverage brought on to the premises.
Cancellations/ Postponements
- In the event of full or partial cancellation of a confirmed booking all deposits are non-refundable and will be lost.
- Any individual cancellations after 5 days in advance will incur the full cost of both the golf and the food on a per person basis.
- No refund will be given due to adverse weather conditions – however if the course is closed, the event can be re-scheduled within 6 months. Should the party choose not to play due to adverse weather conditions, the event can be re-scheduled within 6 months.
- Cancellations for bookings over 40; Should a full cancellation of the event/booking fall within the following time period, a % charge of the contracted revenue will be applied. Total revenue will be charged if facilities and related services are not re-sold.

- The total balance is to be paid 14 working days in advance of the event date. Alternatively, if you would prefer to settle in full after the event, credit facilities will need to be approved in advance.
- An additional account may run during the event to capture any additional extras. This would need to be settled in full within 7 days of departure.
- Any individual cancellations under 5 days in advance will incur the full cost of both the golf and the food on a per person basis.
- Your bill will be based on the total number confirmed by you 5 days in advance of the day in writing or via email

Credit Facilities
- To apply for credit please request an application pack via email; golfevents@barnham-broom.co.uk
- Credit facilities need to be approved by Barnham Broom no later than 30 days prior to the event date.
- On approval of credit facilities all outstanding are to be settled in full within 30 days of departure. Failing this, additional charges may apply. Official Handicap Certificates
- Official Handicap Certificates are not required – however if a player’s ability is affecting other golfer’s enjoyment and is deemed unfit for the course the Course Marshalls have the right to ask you to leave with no refund offered.
- It is the organiser’s responsibility to make sure that all players booked in are up to a standard that does not affect the golf or enjoyment of other golfers on the course
Simultaneous Starts – Shotgun / Two Tee Starts
- A minimum of 72 players would be required to close the course in advance of a Shotgun Start or Two Tee Start.
- Failure to meet the minimum contracted number, a course closure fee will be applied.
- Simultaneous starts are available on request- due to the disruption to our membership they must be paid for in full with the required deposit when securing the booking.
- Simultaneous starts’ costs start from £1000 and are dependent on minimum.

Etiquette & Marshalling Policy
At Barnham Broom our Marshals have total authority over golf play. To avoid any confusion and to ensure that our policies are enforced in a consistent manner, the methods used to identify groups that are behind an acceptable pace of play are made as simple as possible.
If you have fallen back, relative to the group ahead of you, you are behind! i.e. If you tee off immediately behind the group in front, you are expected to stay immediately behind that group at all times for the duration of your round.
The pace of play is determined by your position relative to the group ahead, not the group behind. If the group behind you has fallen back, it means the Marshal will be trying to get them back into proper position. To move them into position, the group ahead of them (your group) must first be positioned properly.
If your group is still not capable of catching the group ahead, you may be asked to pick up your ball and move ahead into position. We want all our customers to enjoy a relaxing time on our courses without feeling they are being pressured, but sometimes these actions must be taken to ensure unacceptable delays do not occur on the course. Failure to follow the Marshals’ instructions could result in removal from the course.
The golf staff at Barnham Broom will do everything within their power to minimise the number of slow rounds on the golf course. There are, however, on a few occasions, circumstances beyond our control that prevent this from happening. To marshal a large group of golfers during long and busy days requires cooperation from all of the players. If this is not forthcoming, your round may take longer through no fault of your own. For this reason, we can only guarantee our best effort to maintain pace of play and, without help from all players, cannot guarantee a specific pace of play.
Mobile telephones may not be used on the courses except for 999 emergency calls only. Please ensure your telephone is switched off at all times. We hope you enjoy your game and we look forward to serving you both on the golf course and in the hotel.
Dress Code
On the Course & in the Brasserie Restaurant To gain access to our golf courses we respectfully request that visiting golfers must adhere to the Barnham Broom Golf Club dress code:
Shirts to have collars and sleeves.
No T-shirts (exception allowed for tailored mocks designed for golf). No blue denim trousers, no football/rugby shirts, no sports shorts or tracksuits.
No trainers, only golf shoes to be worn on the golf course.
Socks must be worn, inner socks and ankle socks allowed.
We request that shirts are tucked into trousers/shorts at all times. Baseball caps or hats must not be worn the wrong way round. Smart shirt and trousers to be worn when in the restaurant.
Staff are authorised to approach members and visitors if the dress regulations are not being adhered to.
Buggies
- Buggies are subject to availability, and are charged at £40 per round
- During bad weather conditions, the use of buggies and medical buggies may not be prohibited. A decision will be made by our Head Green Keeper and Director of Operations the morning of play.
- Medical certificate may be requested to confirm the need for a buggy.
- Our hospitality buggy will be manned by a member of Barnham Broom only. No other persons are insured to use this vehicle.
Weddings
PROVISIONAL
You can reserve your preferred date for up to 14 days to give you time to discuss and co-ordinate your plans.
CONFIRMED
Once you have confirmed your date, a non-refundable deposit of £495 is required to secure your booking.
FINAL NUMBERS
Please advise your final numbers one month prior to the event.
CATERING
It is the policy of Barnham Broom not to under cater in any circumstances.
CANCELLATIONS
In the unfortunate event of cancelation, charges will apply. The percentages will be calculated on the estimated booking value based on your numbers last confirmed.
Within six months’ notice or less 50% charged
Within 12 weeks’ notice or less 75% charged
Within four weeks’ notice or less 100% charged
Notice of cancellation must be given to the Sales Manager in writing. A receipt will be issued to confirm calculation. All monies paid are non-refundable. Barnham Broom reserves the right to cancel your booking if you become insolvent or, in the case of an individual, become subject to bankruptcy petition or if the booking might damage the reputation of the hotel. In these circumstances, any advance payments will be returned, but Barham Broom will not have any other liability.
WEDDING INSURANCE - GET COVERED!
Barnham Broom does not insure any items you bring onto the premises (including wedding presents, audio-visual equipment etc.). We therefore strongly suggest that if you leave any items unattended during your stay, you check that you have arranged adequate cover against their damage or loss.
USE OF HOTEL
You will need our consent if you wish to use amplification, lighting or similar electrical equipment in the hotel, if you wish to attach items to the walls floors or ceilings or if you wish to use outside suppliers to supply equipment or other services.
GENERAL
We reserve the right to alter prices without notification. Prices are as stated and are non-negotiable. We reserve the right to change the room(s) being used should guest numbers change or any unforeseen circumstances arise. Should any guest be unable to correct any aspect of poor behaviour or activities unacceptable to Barnham Broom, we reserve the right to terminate your stay. Should this occur no monies would be refunded to you. The client must reimburse the costs of repairing any damage to the property, contents or grounds by any guests. No wine, spirits or food brought into the hotel may be consumed onsite. Barnham Broom’s name and logo may be used in publicity once a proof of the material has been approved. Barnham Broom must comply with certain licensing and statutory regulations and requires the client to fulfil their obligations in this respect. Prices include VAT unless otherwise specified. This shall be at the rate prevailing when confirmation of the booking was received and is subject to alteration should the rate change. Any equipment that Barnham Broom needs to hire for an event includes delivery, insurance and collection fees.
